In this iScout tutorial or video guide, we’re going to walk through companies.
Basically it’s a list of organizations that you, uh, or your company works with and I’m going to show you how to work with those in the system and how they’re used within the iScout website.
I’m going to stat, start out on my homepage and I’m going to go to uh, let’s see, I’ll, I’ll start out in the Control Panel and I’ll show you what it looks like, um, to see your list of companies.
I have access to the Control Panel and then this Companies button right here, um, because I’m an admin in the website.
If you don’t have access, talk to your iScout administrator and they can give you, um, permission to view these if you need that.
I’m going to click on Companies right here and I’m going to see, I have three companies that my organization works, uh, with or for.
This is the demo site, so this list is something we created.
When you start your site you would have an empty list right here and you would need to add these from scratch based on the companies that you work with.
I could add another company right here.
I’ll just call it Another Company and then that’s it.
You just list it right there, so it’s a very simple page in terms of just listing the names and that’s all of the companies that you are working with right there.
The question is, uh, if you have a large number of these, there are ways to load this into the system without having to type the all through the web interface right here.
A good way to do that would be to go into the Control Panel and then we have a Data Load section and we have a video guide that walks through this more in depth if you have more questions here.
I’ll go through it quickly.
I’ll go to the Help section there and then basically, this is the section that would show you how to load those in via spreadsheet.
This is like the simplest, uh, data load file that we have in the system I think because it only has three columns.
It’s your site name, what type of data you’re loading into the system, and then what the actual name of that customer or company is right there.
That’s, you could download an example right there, but basically you would just be creating a row for each of these and you would change this value uh, to load, um, all of the companies that you work with into the system.
As far as actually using the company, why it’s necessary in the system, if I go over to my Reports page, I have these boiler plate forms that are built into the system, but you could also create your own form, um, from scratch that would ask your own questions, but one of those questions could be what company is this near miss or observation or whatever your form is, what company is it for?
We can search on that later.
I’m going to go into the Near Miss Report and I’m going to show you what that looks like, um, here.
Here I’m choosing the company that this near miss is for, so I could say, “Okay this one, it was a near miss.
We were working for Chesapeake.”
Then I continue to fill this out and then once I completed it, I would go into the analysis page for Near Miss and then I can see I have filters so I can view these Near Misses by a lot of different fields.
The field office, line of business, but also the company.
Basically I could view all the Near Miss reports for Chesapeake right here, and then now it’s going to show, it’s showing all the Near Miss reports for Chesapeake of the last seven days.
Then you could download a PDF of those they needed one.
They may ask you for a report for the last 30 days and you could easily do that.
You got the last month for Chesapeake, here are all the Near Misses.
You just click and download a PDF right there.
You could also view the data broken down by company, so I’m going to clear out the company here so we have them all listed, and then I’m going to go and view the data outputted by company, and then now I can see I have the most responses for Devon and I have the least for Another Company because I just added that to the system and no one’s used it yet.
You can also see a a pie graph of that data and then you could click these to, to drill down and actually just view the responses for that specific, uh, company.
I clicked on Devon, so now it’s, instead of just throwing, showing the last 30 days, it’s going to show 30 days, but only for Devon right there.
That’s basically the only way that, at least currently, the company field is used within the system.
It’s basically for reporting and for analysis.
If you have any questions on the data load or on these reportings, how to build reports, that type of thing, um, definitely check out the other video guides in the iScout website.
